ForeverSave has 10 basic features, all of which combine to create a nearly bulletproof safety net to make sure your Mac saves what you’re working on while you’re working on it (10 according to ForeverSave—my count is less).
If you think about those times you’ve lost a few files or documents, either through accident or negligence, you know why ForeverSave can be a lifesaver.
What we want is simple. Let the Mac do what it does best and save our skin when things go wrong.
That requires that we do a few things to help ourselves, because Mac OS X, for all the luscious security and stability and dependability built inside, isn’t going to do all the work for us.
#1 - Save and Backup Automatically - Once it’s set up, on a per application basis, ForeverSave simply works behind the scenes to capture and store what we’re working on.
#2 - Configure The Assistant - The ForeverSave assistant actually walks through the set up steps. After that, it’s mostly set it and forget it.
#3 - Restore Documents With A Click - Sounds good, huh? Not quite. You’ll need to click to the Control Center, click to select the applications you want, click to find the file or document you want, and click to get it back. Still, it’s not difficult, though it’s not a single click operation.
#4 - Choose Your Save Method - ForeverSave has multiple ways to save files. When switching to a different app, a time interval, whatever. And it can be done on a per application basis.
#5 - Quick Look Inside - After awhile you end up with a lot of versions of the files or documents you’ve opened and used. Which one has what you’re looking for when you go to retrieve it? Use OS X’s built-in Quick Look—- touch the spacebar—to see the contents.
That’s only five basic features. What about the other five? ForeverSave loosely defines features, probably because 10 sounds better than five. One of the five is sharing the database of configurations with other ForeverSave users.
Apple’s Time Machine makes it easy to find lost files. ForeverSave makes it easy, too, but it’s not Time Machine. It’s also not rocket surgery or brain science.
Restoring is done on a per application basis. Click, scroll, find, click to open or click Quick Look to view.
That’s about as straightforward as you can get without having a personal assistant do the clicking for you. All this glitter and glamor makes it seem as if ForeverSave is the perfect utility that Apple simply forgot to include in OS X.
I found two basic caveats that need consideration. First, ForeverSave is set it and forget it for most Mac apps, but not all. For example, there’s no backup support for Final Cut, iWeb, Open Office and a few other popular apps, so no multiple versions of the backups.
And, there’s no backup support or auto-save support for Adobe Flash CS4, Gimp, and a few others. That’s a small list, considering the tens of thousands of Mac apps available.
The initial setup is a delight. It’s a step-by-step walk through, complete with movies so you can see exactly how specific features work. From here on it gets a little tedious. There are numerous options and multiple set up screens for each application you choose.
If you’re not careful, it’s likely that you’ll miss something, or forget to include a specific Mac app, and a week later—no backup file. So, go slowly, follow the on screen prompts, watch the movies, and get your Mac set up for safety.
It would be nice if ForeverSave would save some text files after a certain number of words have changed. If you’re like me and make constant little tweaks to documents it’s easy to end up with a large number of backups, each with few changes.
Considering the glamor and shine and polish of ForeverSave, it’s surprisingly affordable. If you use Time Machine and/or SuperDuper! to back up your Mac’s files, the ForeverSave backup is included, giving you more protection.
Despite my nitpicking, ForeverSave is a remarkably competent Mac app. If your files are important to you, and you open and work on multiple files and documents at the same time, this is one utility you must look at closely.

Don’t misunderstand my intent. I really want to like Quicken Essentials. From what I’ve seen over the past week, this new version shows promise and polish. But not without a few hiccups.
The new Quicken Essentials looks and feels like a Mac app (rather than a crude imitation of a Windows version). The user interface is straightforward and almost self explanatory.
But is it enough to get me to switch from my favorite, MoneyWell?
First, I had to find some old Quicken data files, circa 2008. They would be out of date, but good for a test. Fortunately, Quicken provided me with a mess of data files to test.
Included in the pre-launch package was an old Quicken Mac data file, a Quicken Windows data file, and even a Microsoft Money data file—all ready to be converted and/or imported into Quicken.
Let the hiccups begin.
Quicken Essentials looks great. It is elegant. It has a very competent, friendly feel. And it’s obviously designed to make it easy to get started. Quicken Essentials is aimed at the mass of Mac users who need a good money management tool (not so much those who need all the esoteric bells and whistles which are seldom used by the rest of us).
Simplistic? Perhaps, but I suspect that Intuit knows something about most Mac (and Windows) users, and a step-by-step approach is a good start. This is where the basics of money management begin.
Quicken walks you through simplified steps to set up accounts, track monthly bills, and set up a budget—the three very basic requirements of any decent money management app.
Preferences are an absolute snap, and modeled after Apple’s typical limited Preference offerings. Check for updates. Display Register information and Toolbar. And download transactions. There’s no place for confusion here.
All this is well and good if you’re starting from scratch. But what if you have financial information from an older version of Quicken? Or, you need to import data from Quicken Windows or Microsoft Money?
Caveat emptor. Quicken claims the import process is akin to the mother-of-all-importers and converters. Not quite. Data has to be converted first, and this is where I ran into a few hiccups.
The Quicken data converter is designed to run on older Macs, and requires Rosetta to run on newer Macs (those running Mac OS X Snow Leopard).
That means a separate app is required just to get your old Quicken data converted and then imported into the new Quicken. Windows Quicken users will need to export their data as a QXF file before it can be imported into the Mac version. Likewise, Microsoft Money users will need the conversion utility found on the Quicken Essentials CD to convert and import data from a PC.
This is a convoluted, multi-step process which really needs to be completely transparent to the user.
Not one, two, or three apps or multiple steps to get the data converted and imported into the Mac version. One single import button should suffice. Just one.
Assume you jump through those hoops and Quicken Essentials has successfully transferred your old data. Or, you’re starting over with Quicken, starting from scratch. Is Essentials a good place to begin managing your money?
It is if you don’t mind a very simplified, almost sophomoric step-by-step process to get started. From here on I was pleasantly surprised.
The complete conversion and import process took about 10 minutes (I had to download Rosetta for the conversion utility to work properly, and the old data file contained over 3,000 transactions). The import tool is animated eye candy but the convert and import went off without a hitch.
So, what does the new Quicken Essentials for Mac look like with money in the bank and bills to pay? On to Page 3 for a complete look at what Intuit hopes is the beginning of the Future of Quicken for Mac users.

VideoLightBox works much the same way as VisualLightbox, but for video clips—whether they’re you videos, YouTube or other popular online video service.
VideoLightBox is a handy tool that works on both Mac and Windows PC to create elegant, professional, attractive video clip galleries using the same process as Lightbox.
The whole process is simple. Fire up VideoLightBox, add videos from a URL, or a folder, or one at a time.
You’re creating a single pop up video effect, or a whole gallery of videos. VideoLightBox handles the details. Start with the Ad Video tab. Enter a URL and click Add Video.
Or, you can use the menu selection to add a video. Add as many videos as you want for the gallery page (don’t get too carried away).
Once you’ve added your video clips or URLs to VideoLightBox, click on the second tab, Customize Thumbnails. This gives you an opportunity to adjust the thumbnail quality, add a Play button to match your web page decor, and select a template.
VideoLightBox has a preview of the included templates. There’s also an option to add thumbnail titles, and change the thumbnail resolution. Oh, what kinds of videos? Flash videos, MP3 videos, even YouTube, Vimeo, MySpace, and others.
Now you’re ready to customize the pop up window which contains the video clip. The pop up window automatically adjusts dimensions to match the video clip size.
All that’s left to do at this point is click Publish and decide where to put the video gallery web page. You can publish via FTP to your web site, or, if you want to make sure everything works, Publish the gallery to a folder on your Mac.
It’s a four step process that works similarly to VisualLightbox, but is made specifically for video clips—either URLs of videos from YouTube or other sites, or your own personal videos which you want to be placed on your own web site.
But you’re not limited to using VideoLightBox for web pages.
Publishing the video gallery to a folder also means you can share the videos via CD or DVD.
The VideoLightBox web site is loaded with examples and a video walk through of the step-by-step process. Again, it’s Mac or Windows PC. And it’s free (there is a modest price tag for commercial use).
Why use VideoLightBox? It’s much easier for most Mac or PC users to go point and click than it is to muck around with XHTML, CSS, and Javascript to create attractive pop up video clips which look good in most popular, modern web browsers.
The Mac360 staff is working on a re-design to the site, and we plan to incorporate pop up images and video clips to the new design.

Adobe’s Lightroom 3 is currently in beta testing, and, as expected, comes with more features specially aimed at the more professional photographer. On the other hand, Apple’s Aperture is, arguably, a bit easier to use (in keeping with Apple’s traditional interface capability when compared to Adobe products).
Let me cover the basics. First, Aperture lets you work faster (blazingly fast on new Macs) than Lightroom. Imports are faster. Photo sorting and management is faster. Photo enhancement tools are faster and more numerous.
And, photo organizing is faster, thanks to the ability to scan and organize thousands of photos by facial recognition and location (thank you, iPhoto).
Faces is the face recognition function from iPhoto, made even faster in Aperture. Places uses data from GPS-enabled cameras and displays locations on a map.
Aperture also lets you organize photos by keywords, ratings, flags, and labels, or dates, then store your photos on your Mac or another hard disk drive, and provides one click back ups of the entire Library.
Bring photos to full screen with a click and compare enhanced photos with originals. Moving photos around on screen is blazingly quick, faster than Lightroom.
One thing I noticed about Aperture 3 is how it’s positioned against Adobe’s Lightroom and Photoshop duo. Adobe wants serious photographers to drop the bigger coin for Lightroom and Photoshop.
Apple’s approach is to give Aperture 3 users more adjustment presets—a quicker way to add professional imaging effects and filters—on a single photo or many photos, including some auto correction tools.
Unlike Photoshop, Aperture provides nondestructive brushes so you can alter a section of a photo without having to create and manage masks or layers.
Apple eye candy is evident in Aperture 3. Sure, you can create a photo slideshow from a project or library, but now you can add audio. And video. In fact, Aperture 3 will create a full on multimedia slideshow—still photos, HD video, audio.
In true Apple fashion, sharing is at the top of the list—Flickr, Facebook, or MobileMe—all choices which make it easier to display and share photos online.
I’ve used iPhoto to create photo books as gifts for relatives. It’s just so freakin’ easy to do. Create an album. Select a book design. Click. Click. Done. The book shows up a week or so later.
Aperture 3 brings similar ease-of-use and professional results to book making. There are more book themes and more printing options.
Apple claims that Aperture comes with over 200 new features. That’s good, right? Sure. But it’s also a problem with 20th century feature creep. Features are overwhelming. It’s the 21st century already. Make features easier to use.
Aperture’s full screen projects view is made for the 27-inch iMac screen. Fill the whole screen with thumbnails and drag and drop to reorder images in a project. Want to see a close up? Double-click. Done.
How do you navigate dozens of albums in iPhoto? It’s that giant list in the left hand column. It’s growing. Aperture makes navigating a bit easier with the full screen browser attached to a drop down menu navigation.
That means you can bounce all over the place looking for photos, never leaving full screen browser mode. Importing photos is better and bewildering. Better as in more import options, especially if you’re bringing in hundreds of photos, and want to set up adjustment presets on import.
The problem is the options. There are so many—autosplit projects and headers, change import locations, checkboxes, checkboxes, checkboxes. Join RAW and JPEG images or separate. Add specific AppleScript options to a project after import.
Did I mention importing photos is fast? Just drag and drop a folder onto the Aperture icon in the Dock and it takes care of everything else—including much faster thumbnail loading.
The ugly of Aperture 3 is the bewildering complexity. No, I think it’s worse in Lightroom. After all, Adobe, like Microsoft, loves to smother users with more features, more features, more features. And regular update that cost more money.
Apple’s approach with Aperture 3 is to position it between the iPhoto crowd who yearn for more capability, but don’t want to get into Adobe Photoshop Lightroom expense and complexity.
Despite the few hundred new features, Aperture’s learning curve is also typical Apple. Not too bad, but there’s a healthy jump between Aperture 2.x and Aperture 3. For me, the highlights are as follows:
Audio and Video: Apple stays on the curve by giving you ability to bring in HD video (all the rage these days on digital SLRs) and some editing tools (looks and works similar to iMovie). It’s not Final Cut Studio, but it’s integrated nicely.
Slideshow: Nothing in Lightroom matches Apple’s ability to put on a good show. There are more slideshow themes, more transitions, and the ability to mix and match photos with video and audio, and even add text (character generation) overlays.
Printing and Photo Books: Better, better, better, more options. That’s all good, right? Except that’s where the ugly begins. There’s no way to cram that many features into an app without scaring somebody. I’ve been using Aperture (and Lightroom) for a few years. The former is easier for the non-pro. The latter is scary, even for pros.
Aperture 3 fits well between iPhoto and the Lightroom-Photoshop duo. Well done. Worth the upgrade price, for sure, but be prepared to spend some time learning where Apple put all the pieces.

How many Mac apps are there to manage your Money? Plenty. But not all are as complex or expensive as Quicken Essentials. A few help Mac users manage a checkbook. A few others manage investments. One runs on Mac or Windows PC or various flavors of Linux. And it’s free.
If the Mac is the computer for the rest of us, then Buddi is the personal budget software for the rest of us. Buddi is free and aimed primarily at users with little or no financial background.
Start Buddi by setting up accounts. Checking or savings or credit card. That’s where your money stays and goes (in and out).
Buddi also defines some specific budget categories, including Salary, Utilities, Rent, and so on. You can edit or add more. That’s where money goes (just out).
After that, you’ll set up a simple Budget (how much you need to spend, based on your income), and just enter your transactions and Buddi takes care of the rest. Select the amount you spent, select a matching category.
Buddi tracks your transactions and spits out a few reports, including income and expense totals, as well as by Category. If all you have is a single checking account and a need to know where the money went, Buddi is fine.
Buddi also gives you a little room to grow—add more accounts and categories, including scheduled transactions (so you don’t have to remember). Still, Buddi might seem complex to some Mac users. In that case, simple is even better than free.
One of the very first apps I tried after Quicken was CheckBook. It’s what you think it is. If you can handle a checkbook, you’ll be right at home with CheckBook.
This Mac app is inexpensive and easy to use. All your transactions—income or expense—are in one window so it’s easy to see where the money came from and where it went.
Like most money apps, CheckBook lets you set up multiple accounts and categories. You enter the transactions checkbook style. But features abound. Transfer amounts between accounts. Import data from Quicken or other money apps. Even manage multiple currencies.
CheckBook Pro adds a few more features, including smart folders, global account summary reports, and scheduled entry reminders. But if all you need is a good digital checkbook, CheckBook is about as easy as it gets.
Still on the easy list is EasyMoney. While not as easy as CheckBook, it follows the same path of simplicity, but with a few more goodies.
EasyMoney segregates financial functions. Accounts. Expenses. Revenue. Transactions. Each has a separate window so you can see where money is, where it came from, where it went.
You won’t be overwhelmed by features, and the EasyMoney window—more complex than CheckBook—is still self explanatory. Accounts in the left column, transactions in the center column, and an easily understood toolbar at the top to add, delete, edit, transactions and accounts.
One of my early favorites as a replacement for Quicken is the cute and sassy Cha-Ching.
First, Cha-Ching works in a familiar manner. Set up accounts, set up categories, set up transactions.
But Cha-Ching also lets you sync with iCal so you can be reminded when to pay certain bills. Recurring expenses can be set up according to a schedule.
And, Cha-Ching has a single window that gives you quick access to every function from bills to payments to budgets. Importantly, there’s a Cha-Ching version available for your iPhone which syncs via WiFi to your Mac, so you can manage and track transactions when you’re away from your Mac.
Those are the easy and inexpensive money manager Apps for the Mac. On to Page 3 for a look at the more complex, more powerful, and slightly more expensive apps, which begin to rival and exceed what you get in Quicken—#6 through to #1. Page 3 »

Not every Mac user can afford to buy a bucket load of extra hardware to make backups. However, hard disk drives are less expensive now than ever before, and the options for a nearly foolproof backup plan expand greatly with the simple addition of an extra disk drive or two.
It’s not that there’s anything wrong with making CD and DVD backups of your Mac’s important files. But it is a manual effort, prone to timing, and errors, even though it’s less expensive.
In every case I recommend that Mac users purchase at least one additional external hard disk drive.
Why? The cost is nominal. Recovery of lost files is easier and faster. Management is a breeze, too.
Option #3 uses Mac OS X’s built-in Time Machine software, which, when connected to an external hard disk drive connected to your Mac, can be a very convenient way to make quickly retrievable backup files.
Time Machine has certain benefits. It’s simple to set up and use. Finding lost files is quick and easy. But as simple as Apple makes Time Machine to use, there are some other issues to consider.
First, assume your Mac’s hard disk drive dies. Restoring your Mac to working order using Time Machine has a number of steps and none of them are quick.
Second, a Time Machine hard disk drive, whether wireless or USB cable (or FireWire) is still tethered to your Mac, and prone to the same issues of fire, flood, theft, and so on, that could take place with your Mac.
Finally, there’s the issue of what kind of external hard disk drive to use, and how large it should be. Nearly any decent, name brand external hard disk drive will do the job. I’ve had good success through the years with MacSales. Their hardware prices are competitive, almost always less than Apple, and they know Macs inside and out.
One of my recommendations for an external hard disk drive which works well with Time Machine is the Newer Tech VoyagerQ.
Isn’t that the absolute ugliest external hard disk drive setup you’ve ever seen? Is there another that is uglier? Or, more capable and flexible? That’s why it’s on my list.
Starting at about $50 (without the disk drive), the Voyager is more like a disk drive docking solution. Models can handle FireWire or USB or eSATA or all three.
You plug in an 2.5 or 3.5-inch SATA disk drive and you’re good to go.
The disk drive in Voyager is removable. You can swap it out with ease. Just eject the disk drive from the Mac’s Finder, turn it off, push the button, and you’re ready to swap it out.
There are a number of advantages with this approach. First, external hard disk drives tend to run hotter than internal disk drives on your Mac (the fan keeps it cooler). The Voyager drive stays cooler and cleaner than an internal disk drive, and could last longer.
Also, the Voyager is completely portable. It will work on any recent Mac using FireWire, USB, or eSATA connectors (depends on the Voyager model). The hard disk drive, because it can be removed, can also be store in a safe place away from home or office, and rotated as necessary to provide another layer of safety.
Finally, external hard disk drives usually cost more than internal disk drives. The drives you plug into an external Voyager dock are actually internal disk drives, so you’ll save money.
Next up is #2, the software advantage. Time Machine is better than nothing. So, what’s better than Time Machine? And, how does an external hard disk drive work with cloning software? And, what is cloning software?
On to Page 3 for the absolutely, positively must have option that shouldn’t be an option. It’s software you must have.

You may think my criteria is too severe. That free TV just isn’t meant to be. That’s my point. I’m already paying for television. I just want to view TV on my Mac.
And, for that matter, on my iPod and iPhone, and soon, on my bright, shiny, new Apple iTablet/iSlate/iPad/iDevice. And I don’t want to pay extra.
That cuts the number of options down to one. It’s tried and true. It works on my Mac. It records like a DVR and integrates with iTunes.
What goes into iTunes also goes to my Mac and to my iPod and to my iPhone and eventually my iDevice.
What sorcery is this? What magic have the Digital Gawds provided to my digital hub? Elgato’s EyeTV. I know. EyeTV isn’t free. But remember, if you can’t be with the one you love, love the one you’re with.
Simply put, EyeTV is made of two components. It’s the classy, Mac-like software that controls television—scheduled recordings, pause, live, fast forward, rewind. It even converts television recordings for your iPhone or iPod.
EyeTV is also a tuner device, that little plastic looking gizmo that plugs into your Mac and plugs into your cable TV and brings television shows direct to your Mac, day or night.
There’s an EyeTV hybrid, a tuner stick that plugs into your Mac and gives you HDTV and FM radio. The EyeTV one is another pluggable device that pulls TV from the air. No, seriously. I’ve seen it. It used to be what people did to get TV before cable TV.
Elgato has a few other devices worth mentioning. One is called, appropriately, the eyeTV app, which puts your television recordings right on your iPhone without using iTunes. You can even stream live TV over a 3G phone connection to your iPhone with the Live3G web app. That one is free.
All those options sound promising, right? What about getting television shows that are stuck on your Mac to show up on your new 60-inch flat screen TV? The EyeConnect UPnP AV Media Streaming Software is what you need (and with a name that just rolls off your tongue, it makes you want it even more, right?).
Now I’m a girl getting all geeky because you have to install software and hook up wires and cables and something called a Universal Plug and Play media device (available at your local Best Buy store, or other places that earn my trust by selling Macs and PCs next to stoves and refrigerators).
All this good news comes with bad news, but none of it is ugly. The acceptable solutions which meet my aforementioned criteria are fewer and farther between than facts on Fox News.
Assuming you’re willing to part with some money for one of those tuner doo-hickeys to plug cable TV (which you’re already paying for) into one of your Macs, EyeTV3 software turns the Mac into a TV and a DVR with no additional monthly fee.
EyeTV lets you watch live TV on your Mac, and with the benefits of the typical DVR. Use your Apple Remote to pause, fast forward, rewind, and navigate through the channels.
There’s a program guide which lets you set up TV show recordings, just like the DVR you’ve been paying to the cable company for 10 years. The TV shows get recorded to your Mac’s hard disk drive. It’ll even wake your Mac from sleep to record.
Even better, EyeTV will encode and convert TV shows and dump them into iTunes for export to your iPhone or iPod touch. Automatically. What’s not to like? TV comes to your Mac.
EyeTV isn’t free. But it’s free to use. You need the cable tuner doo-hickey to plug into your Mac’s USB port. That’s a one time purchase. So, I compared the amount I’ve shelled out to the cable TV company for nine years and figured out that I could buy a Mac mini, and EyeTV, and the doo-hickey for less money.
It’s not a perfect Free TV On Your Mac™ solution. It’s good. It’s bad. But it’s not ugly. And it works.

I like to think that my move away from Microsoft Office and Entourage, to iWork and Daylite, actually enhances my ability to be efficient and productive with others. Even more important is the ability to communicate with others, track that communication, and use it to improve sales.
How many ways can employees communicate with each other? How many ways to we communicate with customers, clients, or potential customers?
Email is an evil necessity. It is filled with inane time wasting communication, yet all of it must be tracked, stored, and, if possible, linked to specific tasks, projects, objectives, and even customers.
Daylite’s approach is reminiscent of that same effort in Entourage. Without opening Apple’s Mail, Daylite has an email module which works in Mail, and links messages to various contacts, tasks, and projects.
And, all those pieces integrate with reminders and alerts, and pop up as actionable items. The email window pops up with a side pane which can link to other items (click on an image for a larger, pop up detailed view).
That’s my view of business work flow. Accomplishment is the goal. So, activity must be specific and targeted, otherwise it’s wasted effort. Daylite lets you create what they call Activity Sets (simply template workflows) which use tasks and appointments.
Note how the Activity Set contains specific tasks. Think of this as step between simple to-do lists and more complex projects made up of many tasks. These are specific activities which can be linked to other items, and even given an end date.
Another deviation from Entourage is Daylite’s ability to incorporate good old capitalism into the work flow. Use it to track new business leads using a module called Opportunities.
Here again, the linking or associating of contacts and projects and tasks and activities gives you a better handle on the sales process—from contact to contract and all the steps in between.
This one feature alone is worth the price of admission to Daylite, as performance measured is performance improved. The value of an integrated approach to tools that track customer and client contacts, as projects, is genius.
But Daylite has a few other values, too. One is to reduce the complexity (more on that, too).
Since Daylite uses an email module, you’re still using Mail, and don’t have to learn something new. Even incoming email gets linked automatically with open projects, tasks, meetings, and related files.
One thing we spend too much time doing is searching through all our contacts, to-do items, email messages, tasks, and lists. Daylite integrates search into a Quick Find window.
From there you can search and create smart search lists which can be re-used. And, again, the results all link to other items. Finally, there are three other major issues which plaque productivity apps, and Daylite has a decent handle on two of them.
Head to Page 3 for the lowdown on networking and synchronization, database management and system administration, and importantly, how to stay in sync while you’re on the road, whether using an iPhone or a Mac notebook.

Installation is straightforward. Download Automaton, unzip the disk image, drag and drop to your Mac’s Applications folder. Then, double click to start.
Getting started is straightforward but requires a few steps to get going.
Automaton automatically sets up an Automaton folder in your Mac’s Documents folder. Notes, Clips, AutoTyper, and AutoFiler go in their respective folders, and each has a specific configuration.
This is where the effort begins and ends. Configuration. To get started, take a quick look at the built in Help. There’s also a link to a help video (click on any image for a larger, pop up view).
I suggest that you take a moment to walk through the Getting Started section. Remember, Automaton does the functions of four different Mac utilities, but with far more efficiency. So, getting started on the right foot is important.
Preferences appear, at first glance, to be simple, too. They’re not quite, hence the above steps to get started. Automaton is only four basic functions, but each has plenty of features. Click the Open button on on, then double click the file path to open the configuration.
For example, Notes looks like a mini-word processor. It is. So the basic functions you expect are already built in. Even the Notes toolbar can be customized. Drag and drop toolbar functions to match your needs. Looks familiar, doesn’t it?
Double clicking on the other functions in Preferences brings up additional configuration windows. It may seem cumbersome, but the result is worth the effort. For example, try the AutoTyper.
In AutoTyper, you create short cuts; abbreviations which are replaced by text that you designate. You can even set AutoTyper to work in specific applications (or not), and set up Hot Keys to invoke, copy, create, and so on.
Likewise, AutoFiler needs to be set up so Automaton knows where your files need to be placed.
AutoFiler will automatically place specific files (downloaded, copied, saved, etc) to appropriate locations in your Documents folder hierarchy. If you really need to get your geek on, both have additional configurations for rules and folders which can be saved and exported.
Added benefits include auto deleting preference files from applications or utilities which you drag to the trash.
Don’t go crazy over the configurations. Set it up, get started. You can make changes later as you become more acclimated to what Automaton can do. How do you get started using Automaton?
The |A| in your Mac’s Menubar is home to Automaton. Click and hold and a bunch of functions magically appear in a nifty pop down menu.
Everything you need is merely a click or drag away. Clips, Typer, Notes, Filer. Even Preferences, Configuration, and Help are in the same menu.
Frankly, if there’s a beef I have with Automaton, it’s that set up and configuration take more effort than using the features.
All four basic functions seem to integrate nicely in my work flow. I’m especially enamored with the Clips function, because it replaces other clipboard managers I’ve tried.
Ditto for AutoTyper, which is immensely handy, assuming you can remember the appropriate short cuts.
AutoFiler does something special, too. It forces you to set up a file organization in your Documents folder. Organization is a good thing. My Mac must have half a dozen notes utilities of one kind or another. AutoNotes replaces those, too.
There’s much to like with Automaton. The whole is certainly greater than the sum of the parts, each of which is as good as many standalone tools. But since it’s four tools in one, setup takes four times as long.

The next two items on the list are not for the feint of heart. They’re for the desperate Mac user. And the adventurous Mac user.
It doesn’t happen often, but every now and again a Mac can go wonky and decide not to start up. What can you do?
Short of a trip to the nearby Apple Store to meet the Genius in your life, try AppleJack first. This is the one Mac utility you probably should have and hope you never need to use (but not yet on Snow Leopard).
AppleJack helps you start up a troubled Mac without running the Mac’s standard user interface. In other words, AppleJack is ugly but useful to repair disks, repair permissions, and handle a number of items which might cause a Mac to stumble on startup.
If AppleJack is for the desperate user, TinkerTool is for the adventurous Mac user.
TinkerTool is a nifty, handy Mac utility which gives you quick and safe access to a whole bunch of hidden preference settings in OS X.
Check out the details in TinkerTools Preference List.
Tinker with the Dock, the Finder, menu settings on Mac OS X Tiger, Leopard, and Snow Leopard. It’s fun, useful, and pretty much safe, since every change can be undone.
This great little Mac utility is on everyone’s list of good, free Mac software, so I’m obligated to list it, too. And I use it from time to time.
Adium is an instant messaging application that works with just about every IM system out there. AOL, MSN, Yahoo!, Google, iChat, ICQ, Bonjour, MySpace, Facebook, Jabber, and many others.
Instead of having a bunch of different instant messaging apps floating all around your Mac’s scree, use Adium instead. It’s updated frequently, works very well, and wins the Mac360 award for cutest icon.
Sometimes I’m surprised at Mac and Windows PC users. So many don’t know what the right-click button does on their mouse. Mac users can be forgiven because Apple didn’t even bother to include a second button until a few years ago.
Usually, right-clicking a mouse results in what is known as a contextual menu. That means the menu changes depending on where your mouse pointer is when you click.
FinderPop is a Mac utility, actually a Preference Pane, which creates a customizable pop up, contextual menu (it’s right click, control-cllick, and control free capable). This is very useful. The only problem is that FinderPop is all funky on Snow Leopard. Caveat emptor, and all that.
Unfortunately, free graphic and image editing apps for Mac users are not a dime a dozen. I don’t even think there is a dozen.
If you were an annoying neighbor, always bugging me about helping you with your Mac, I might recommend GIMP. Think of it as a poor man’s, no, a poor masochist’s Photoshop. It does a lot, but it’s torturous all the way.
Instead, for newbie Mac users who want more than iPhoto, I give them ImageTricks.
Drag in an image or photo, click to adjust colors, add filters and effects (63 in the free version), apply one or more of 100 different masks, import and export in a number of graphic file formats. It’s all point and click (and trial and error) What’s not to like?
We’re half way through The Top 20 FREE Tools Every Mac User Must Have. On to Page 3 and The Top 10 FREE Tools.

Evernote bills itself as One Account. Many Devices. That pretty much tells the story. Set up the account, download the Evernote application for your particular chosen device, set some Preferences, and you’re good to go.
The basics are exactly what 21st century infoholics really need. Access to the same stored information, but from different devices. That’s a trend that I expect to continue. Many iPhone apps sync their data seamless, wirelessly, easily with the Mac or Windows PCs.
The Evernote Web Clipper option works with Internet Explorer for PC users, and Safari for Mac users (there’s a Firefox extension, too), so all you need is a browser and—here it comes—you’re good to go. Again.
Setting up your Evernote preferences on the Mac is a breeze (after all, this is Mac360, right?).
Create multiple notebooks, decide what to do with your clips (and notes and other stuff), and configure Evernote to your tastes and requirements (click on any image for a larger, pop up view).
While Evernote is quite simple to set up and use, it’s also a good tool for Mac power users. Check out the keyboard shortcuts for those of you being weaned from point and click.
I said it would be easy. It’s also fun. For Mac users, the Evernote interface is a quick learn. What you see is what you get, quick to master, similar on all devices, and the only negative is what amounts to an obscure ad on the screen.
Check out the Evernote window. It’s not exactly Rocket Surgery or Brain Science.
Next up is the Evernote editing window for notes. You can create a note within Evernote’s app or from the Mac’s Menubar (now you know why Apple went to the widescreen design for Mac screens). It’s like a little word processor.
You can even email notes, clippings, snippet, etc., right from within Evernote. And, taking a cue from Apple’s MobileMe snazzy email application, Evernote has a Web 2.0-looking web page, so if you’re not on your Mac and are forced by the Demons of Microsoftia to use—gasp!—a PC, Evernote is still there to tell you it’s alright, and life will be good again as soon as you get back to your Mac.
Alright, enough about Evernote on the Mac and Windows PCs or in popular browsers. What else have you got? How about running Evernote on your mobile device? You’re in luck. Not only is there an iPhone App Store app for Evernote, there’s also versions for other so-called smart phones (compared to an iPhone they don’t look so smart, do they?).
Evernote runs on Android, BlackBerry, Palm Pre and Pixi, and even Windows Mobile whatever. If you’ve got a phinger and a phone, you’re good to go.
It’s not really magic, you know. It’s just technology that’s eminently useful, and priced right. As in free (though there is an annual fee if you’re averse to seeing those scrawny advertisements).
Evernote does a lot. Use your phone to snap and store a business card. Capture and store receipts, plane tickets, confirmations.
Use your phone’s camera to capture the white board of an important meeting. Plan a trip using web pages, Google maps. Add sound clips (like a voice memo), video clips (right from your Mac’s iSight camera).
If you tweet you can create notes using Twitter (sometimes something so cool can have a feature that’s more of a solution looking for a problem). I don’t normally go ga ga over an application with ads, but these are unobtrusive and Evernote just does so much and is priced so right.
Did I mention that Evernote is green? Yeah, well, it’s just the color scheme of the web site instead of some kind of affiliation with whaling-ship-chasing Greenpeace dudes. But, hey, green is green. This one is, but just doesn’t cost any green (apologies to non-US based Mac360 readers who may have a currency that is not green).

Eye Candy 6 installs quickly, and provides two menu selections in Photoshop CS4, near the bottom of the Filter menu.
There are two menu selections, each leading to pop up panels with plenty of options. One affects Text and Selections, the other provides Textures. Selecting an option from the menu brings up a corresponding window with various settings (click on the image for a larger pop up view).
Distortions, highlights, and other effects are a click away.
Photoshop does text, but it’s clunky and cumbersome, with a limited number of built-in warping tools, and effects. The whole process for text modification is tedious.
Eye Candy helps by providing a number of options that work on text and image selections.
Of course, the effects are non-destructive so you can point and click the endless combinations until your eyes bleed.
Sometimes it’s easier to know what you don’t want vs. what you want, so trial and error is a good place to start. Eye Candy makes trial and error almost error free (thanks to the non-destructive feature and Photoshop’s many undo steps).
Lets take a look at some Eye Candy examples for text, effects, and textures.

Text and selection effects can be applied to produce unlike images from like images, merely by modifying the background layer, and changing filters.

Eye Candy gives you the option of producing effects on multiple layers to produce even more drastic results.

If fact, there are so many options for each layer of an image, that there’s a tendency, especially among newbie Photoshop users, to just go crazy overboard.
Click Here for more examples from the Eye Candy section of the Alien Skin site.
To make it even easier to master Eye Candy, the company provides many video tutorials which walk through the process of using the Eye Candy CS4 Panel, and creating various effects from the pull down menu.
There’s even an iPhone version with QuickTime movies, so you can be educated on the intricacies of Eye Candy while on the go, away from your Mac. This isn’t the only plug-in to help make Photoshop an easier tool, but it’s one of the best.
For the budget conscious Mac user, Eye Candy also works with Photoshop Elements for Mac (another reason why Elements is such a bargain—Eye Candy is more expensive), and Adobe Fireworks CS4. Any caveats?
Yes. Eye Candy, for all the point and click, trial and error simplicity, gives you so many options for text, backgrounds, textures, and selections, that it can be overwhelming. You can spend hours just trying different combinations.
If you venture into Eye Candy, make sure to download the video tutorials. They will save you hours of trial and error and error.

Continued from Page 1…
If you’re planning to take my expert advice on the top Mac utilities, that means you’re willing to try apps beyond what Apple gives you. Good for you. It also means you might throw some apps away. What’s the best way to clean your Mac of unwanted files?
Dragging an unwanted Mac app or utility to the trash is one way to discard that which you no longer need. But it doesn’t get rid of all the app’s offending files (usually scattered all over your Mac’s innards).
CleanApp does just what it says. It cleans and rids your Mac of files you don’t need.
How does it do that? Surprisingly cool. CleanApp monitors your Mac all the time. Each time you download and install a Mac app or utility, CleanApp notes and remembers where all the files go.
Clean up is usually just drag and drop. Drag the app’s icon to CleanApp and immediately it shows all the related files than can safely be trashed.
I use CleanApp because I’m constantly trying out new Mac software. This allows me to do it without compromising my Mac and cluttering it up with unneeded files and apps.
When it comes to social media I’m more of an observer than a participant. So it is with Twitter. What I use for myself and for Mac360 is Tweetie.
Tweetie lets Mac users do more than the basics (Mac or iPhone).
You can have multiple Twitter accounts, click to compose a tweet in any account, double click a tweet to view the entire history up to that point, even search for hot topics and trends with a single click.
Tweetie has a tear off search function that is to die for, though decidedly more for the experienced Twitter user. If you’re into Twitter beyond using it on Safari or Firefox, Tweetie is the one and only.
I collect stuff on my Mac. Stuff? Everything. Notes. Bookmarks. Photos. Images. Links. Email. Text clippings. You name it, I’m a click away from keeping it.
So, how does a Mac user handle the flow of information that rolls across our eyes every day? ShoveBox is my utility of choice. It’s not as feature laden as Together, or as sophisticated as Yojimbo.
ShoveBox does just enough and adds one feature the others do not have. It’s drag and drop your items direct to the Menubar. Items can be stored and sorted into folders, searched, and double-clicked (as in the bookmarks).
Why is ShoveBox a better value? There’s an iPhone version that synchronizes with the Mac version. ‘Nuff said.
The Mac is not feeling a shortage of utilities to manage our To-Do lists. More complex project and task management utilities abound.
What we want is a project and task management app that does a lot but is easy to use, yet can grow and become more useful over time. That’s what Things does.
First, Things is task management. Remember, a To-Do item is just a task. On Things, tasks are easy to set up and just a click away.
String a few related tasks together and you’ve got a project, so Things quickly becomes a project manager. Set your To-Do items to repeat. Set them to start on a certain date and have a due date. Add notes and tags.
Things even syncs to the iCal To-Do list. As your knowledge grows in how to use Things for simple tasks to more complex projects, Things lets you delegate To-Do items to others. Tracking a task or a project is a click away. The Things Dock badge alerts you to items that are coming up.
And, importantly for the modern Mac user, there’s a Things version for the iPhone which synchronizes with your Mac. Powerful, but simple. Things is a must-have utility.
Not one of these Top 12 Mac utilities will break the bank. They’re affordable, well integrated, and help you get done what you need with a minimum of fuss, and a modest learning curve. What separates the Top 5 from the others? On toward Page 3 and the Top 5 Tools Your Mac Must Have.
